Serial numbers let you track each product unit from purchase to sale. You enter the serial on an incoming document and select it when you sell. The history also appears on the product card.
Activation
- Open Settings → Inventory/Products/Services and enable Serial numbers by checking it. This shows the serial tabs in Inventory.
- On the document type you will use, set the Serial numbers field to Yes. Then the document line shows a Serial numbers column and you can open the window with F5 or from the Serial numbers menu.
Entry on an incoming document (purchase/goods receipt)
Open an incoming document with serials enabled, add the item on the line, and open the Serial numbers window. Type or scan the serial in the input field and press Entry (or Enter). Repeat for each item.
The line quantity follows the number of serials you have entered. If that serial is already in inventory, a notification appears.
Selection on an outgoing document (sale/goods issue)
On a sale, the same window shows the available (unsold) serials for the item, preferring older purchases first, together with any you have already added on that line. Double-click (or press Enter) a row in the list to fill the field, then press Entry.
You can also scan the serial; if it is not found as an item code, EMDI can locate the product from the serial and link it to the line. If the serial is not available in inventory, a confirmation prompt appears before entry.
History in Inventory
With Serial numbers enabled in Inventory settings, on the item card you have the Serials tab (or press F5) and the All serials list. There you see purchases and sales, which are available and which were sold. Double-click opens the related document.
Useful features
- Right-click in the serials window: delete selected, delete all in the list, open the document of the selected serial, change the last digits (Ctrl+Enter).
- From the window menu you can enable applying the purchase price or special-field value to the line.
- In document settings there is a serial print prefix and an option to copy serials when you copy/merge documents.
